1. Purpose of This Policy

This Data Policy is intended to provide you with clear, specific information about how Elite Booking Desk handles data in the course of providing its concierge booking services. This policy supplements our Privacy Policy and provides additional detail about our data practices, the categories of data we process, the legal basis for processing, and your rights with respect to data we hold about you.

We are committed to handling your data responsibly, transparently, and in accordance with applicable United States of America federal and state law.

2. Categories of Data We Process

2.1 Client Identity Data

We collect and process personal identification information including your full legal name, as required by service providers for booking confirmation. This data is used solely to complete the booking you have requested and is shared only with the specific provider handling your reservation.

2.2 Contact Data

We collect contact information including phone numbers used to communicate with us via WhatsApp or other messaging channels. This data is used to confirm bookings, communicate about your reservation status, and respond to follow-up inquiries. We do not use contact data for unsolicited commercial communications.

2.3 Transaction Data

We process data related to the services you request, including travel dates, destinations, number of travelers, and booking preferences. This data is necessary to fulfill your service request and is retained for the duration required to complete the booking and handle any post-booking support or dispute resolution.

2.4 Communication Data

The content of communications you send to us through WhatsApp or other channels is processed by us solely to understand and respond to your requests. We do not analyze, store, or use the content of your communications beyond what is necessary to fulfill your immediate service request and maintain an accurate record of the booking transaction.

3. Legal Basis for Processing

We process your personal data on the following legal bases under applicable United States of America law:

4. Data Minimization

We collect only the personal data that is genuinely necessary to complete your specific booking request. We do not collect data speculatively or in anticipation of potential future use. We do not ask for information that is not required for the service you are requesting, and we do not aggregate client data for commercial purposes beyond our direct service delivery function.

5. Data Accuracy

We rely on the accuracy of the information you provide to us. If you become aware that information we hold about you is inaccurate or out of date, particularly information that affects the validity of your booking, please contact us immediately so that we can make the necessary corrections. We will update inaccurate data without undue delay upon receiving a verified request.

6. Data Storage and Security

Client data is stored securely using commercially reasonable technical and organizational safeguards appropriate to the sensitivity of the information. Access to client data is restricted to those within our operation who have a legitimate need to access it for service delivery purposes.

WhatsApp communications are subject to WhatsApp's own security measures, including end-to-end encryption for direct messages. We recommend that clients use WhatsApp's secure messaging features when communicating sensitive information such as names, travel dates, and booking details.

We conduct periodic reviews of our data security practices to ensure they remain appropriate and effective.

7. Data Transfers

Client data may be transferred to third-party service providers located within the United States of America as part of completing your booking. We do not transfer client data outside of the United States of America except where necessary to fulfill an international travel booking specifically requested by you, in which case only the minimum data required is shared with the relevant provider.

Any third-party service providers we work with in connection with client bookings are subject to their own data protection obligations and applicable United States of America law.

8. No Sale of Personal Data

Elite Booking Desk does not sell, rent, license, or otherwise transfer your personal data to any third party for their independent commercial purposes. This commitment applies to all categories of personal data we collect and all clients regardless of state of residence.

9. Automated Decision Making

We do not use automated decision-making processes, including profiling, in any way that produces legal or similarly significant effects on you. All booking decisions, pricing communications, and client interactions are handled by a real person at all times.

10. Data Breach Response

In the event of a data breach that is reasonably likely to result in a risk to your rights or personal information, we will notify you without undue delay upon becoming aware of the breach. We will provide information about the nature of the breach, the categories of data affected, the likely consequences, and the steps we are taking to address the breach and mitigate any adverse effects.

Where required by applicable state law, we will also notify the relevant state authority within the timeframe required by law.

11. Your Rights Regarding Your Data

You have the right to request access to the personal data we hold about you. You have the right to request correction of inaccurate data. You have the right to request deletion of your data, subject to our legal obligations to retain certain records. You have the right to object to certain processing activities. You have the right to receive your data in a portable, machine-readable format where technically feasible.

To exercise any of these rights, please contact us through our WhatsApp channel. We will respond within 45 calendar days and will not charge a fee for reasonable, non-repetitive requests. We may request verification of your identity before processing data rights requests to protect the security of your information.

12. State-Specific Data Rights

Residents of California, Virginia, Colorado, Connecticut, Utah, Texas, Montana, Iowa, Indiana, Tennessee, and other United States of America states that have enacted comprehensive privacy or data protection legislation have additional rights under those specific laws. We honor the data rights afforded to residents of all states with applicable data protection legislation. If you believe your state-specific rights are not being honored, please contact us directly and we will address your concern promptly.

13. Cookies and Tracking Technologies

Our website does not use third-party advertising cookies or cross-site tracking technologies. If we use any cookies for basic website functionality, they are limited to session management and security purposes and do not track your activity across other websites or services.
